Many businesses spend money on leasing photocopying machines or invest in desktop printers for a number of staff members. Not much thought is given into other potential cost saving solutions that eliminate or significantly reduce the monthly leasing costs or the upfront investments and ongoing running costs of photocopiers and printers.

There are however solutions that not only save money but will free up time for staff allowing them to focus on real value-add to the business. Almost every town and city in the United States has a print and copy store. These stores have invested in printers and photocopiers for the precise reason that you and your business don’t have to. They are the solution to saving money, freeing up staff time and not having large copiers or printers cluttering office space and staff desks. By investing in coping equipment that will go on to service hundreds of businesses and individuals every month, they are able to offer print and copy rates that are well below the rates that a single business is able to achieve by leasing copiers or buying printers for their own use.

The same goes for all the consumables such as paper, toner and ink. A print and copy store will buy significantly higher volumes than an individual business meaning they obtain preferred purchase prices which can then be passed on to the consumer.

If your business is currently leasing a copier or has invested in rapidly depreciating printers, it may now be the time to rethink your copying and printing solutions and look to outsource your copying to your local copy and print store. If you really think about how often your staff make B&W copies and it turns out that the business is not, in fact, making that many, then you will be paying a premium for every copy you make. Similarly, if you are making large numbers of B&W copies, then it would be better to save on leasing costs, and let somebody else cover those costs. Whichever way you look at it, having in-house copy facilities does not make business sense. There is no doubt, a print and copy store within in walking or a short drives distance that will be able to have all your B&W copies done on the very day that you need them. You probably already use the store for binding, color copies or printing marketing and advertising material. It won’t take much to add your B&W copies to the list of material to take to the copy and print store. And, it is going to save you money. At the same time, an analysis of staff time spent standing over a copier while hundreds of B&W copies are made or time spent buying, fetching and replacing toner cartridges, will likely reveal a lot of wasted time that could be spent doing more important business activities. The motivation for outsourcing your B&W printing is strong and makes real business sense. It will take you ten minutes to do the maths to identify the cost benefits. We recommend that you do and you will then likely to be heading quickly down to your local copy store to save money.
